Job Summary
• Order front office supplies and keep inventory of stock.
• Update calendars and schedule meetings.
• Manage all re-registration formalities for current pupils and monitor re-registration fees collection.
• Ensure accurate and updated database management for all pupil information and files.
• Manage reporting of statistics and enrolment details to the Principal on a weekly basis and as requested.
• Keep updated records of office expenses, fee received etc.
• Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing.
• Greet and welcome guests as soon as they arrive at the school.
• Answer, screen and forward incoming phone calls.
• Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, registration packs and brochures).
• Receive, sort and distribute daily mail/deliveries.
• Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, visitor badges etc).
• Ensure initial admissions enquiries are captured, recorded, handled and followed upon.
• Respond to enquiry emails or forward to appropriate authority and ensure follow up.
• Manage pupil information and database records in ACE.
Requirements
• Three to four years’ experience in managing front office & administrative duties.
• Excellent writing and communication skills.
• Professional attitude and appearance.
• Highly organized with the ability to multitask.
• Bachelors Degree holder.
