Your OpportunityWe are looking for an Office Administrator to support our Dubai Head Office with the management of administration tasks, office operations and reception related duties.The ideal candidate should have the ability to handle confidential information in strict confidence, work with high integrity and minimum supervision and have the ability to follow direction and perform tasks independently.This role will be based in our corporate office in Dubai.Key AccountabilitiesProvision of general clerical assistance as required by team membersAssist with photocopying, booklet production, binding, laminating, scanning, shredding, archiving and other similar activitiesCheck printers daily and refill as required and assist in keeping store items correctly stockedRegular maintenance and checks of office cupboards, ensuring items and documents are tidy and organizedDaily maintenance of our office floors and meeting rooms (neat, tidy and organized – all white boards cleaned daily)Receiving collection of equipment, stationery, documents, mail, parcels or other such itemsManage mail and ensure recipients receive physical mail delivered to officeMeeting room preparation – ensuring meeting rooms are fit for purpose, correct layout, all equipment is available, required/requested supplies are providedLiaising with cleaners re: Housekeeping of pantry, i.e. ensuring cleanliness, availability of supplies, etcManaging First Aid and Fire Warden – expiry of certificates and renewals and booking trainingNoticeboards all up to date – policies and posters etcOffice works and maintenance – ensuring prompt response to any issues from a safety perspectiveWorking with the building management for evacuation drillsEnsuring visitors and new employees in the office receive an office safety induction and walkaroundSupport on reception and front desk ensuring that there is always someone available to greet visitorsIn the absence of OMS Supervisor, attend to visitors and coordinate with mails, couriers and deliveries at reception UAE NationalGood communication skills both written and oral with the ability to communicate with people from various backgrounds and standingAbility to liaise in a professional and persuasive manner with staff at all levels in the organizationAbility to handle confidential information in strict confidenceAbility to work with high integrity and minimum supervisionAbility to follow direction and perform tasks independently
